Q6: What is included with the Annual Meeting full registration?
A6: Access to the Deep Dive Workshops (Sunday), Education Program (Sunday – Wednesday), Keynotes (Sunday and Tuesday), Member Site Visits (Monday, Tuesday) and EXPO access and meals (Monday – Tuesday Lunch and Wednesday coffee), Session (H) with boxed lunch (Wednesday).

Member/Non-Member Verification
As you register, if you believe your membership status is incorrect, you will have an option to check the box (see screenshot below) in your login profile page to notify LeadingAge. You may continue registering and complete your registration while we get back to you.

Q9: I would like to register several people for the Meeting, is there a group registration policy?
A9: If you would like to register as a group, please login, then in Step 2 you will be prompted to click on one of the following:
I want to register myself.
I want to register a group.
I want to register myself and a group.
Please click on the one that applies to you and you will automatically be directed to the correct registration site.
Q10: I want to register online. Do I have to pay for my registration now?
A10: Yes, payment is due at the time of registration. Online registration requires a credit card. To pay by check, please register online at LeadingAge.org/AnnualMeeting, print the registration ‘Statement of Account’ page, include a check payable to ‘LeadingAge’—with the name(s) of the registrant(s) in the memo line—then mail to LeadingAge Registrar, c/o Showcare Event Solutions, 1200 G Street, NW, Suite 800, Washington, DC 20005-6705.
Q11: How can I cancel my registration?
A11: Please send cancellations in writing by e-mail to LeadingAge@Showcare.com in accordance with the below deadlines. The Power of Purpose Service Project, Philadelphia Run/Walk, Friends & Family, Resident, and Student categories have different cancellation fees. For more details regarding cancellations, please consult LeadingAge.org/AnnualMeeting.
Cancellations received by: August 23, 2018 - Full refund minus a $125 processing fee August 24 to September 13, 2018 - 50% refund of complete fee On or after September 14, 2018 - No refund
Service Project, Friends & Family, Resident & Student Cancellations
Must be received in writing by the Registrar by September 14, 2018. Cancellations will be refunded minus a $35 processing fee per guest. No refunds will be issued after September 14, 2018.
Housing Cancellations
Any cancellations received on or after October 13 may be subject to be charged by the hotel based on each hotel properties cancellation policy.
Q12: Can someone else attend in my place?
A12: If you register and then are unable to attend, you may send someone in your place (needs to be from the same organization) no additional charge. Substitutions to registration or hotel reservations must be submitted in writing to LeadingAge@Showcare.com or by fax at 514-289-9844. A letter must originate from the original attendee and/or company in order to process. IMPORTANT: October 12th is the deadline for any changes to hotel reservations. You will need to make the hotel substitution directly with the hotel starting October 13th and onward.
Please register the person that will be replacing you online at http://www.leadingage.org/node/15678, and stop once you are prompted to pay.
Once the new online registration has been made, please have the original attendee email authorizing the substitution to LeadingAge@Showcare.com. We will complete the process and make sure the substituted file is all set for onsite.
IMPORTANT: If the original attendee was mailed their badge, the new attendee MUST bring that badge onsite and hand it in to the registration staff to complete the substitution requirements.
If staying at the Loews Philadelphia Hotel all changes on or after October 5, 2018 should be made directly with the hotel and will be made on a space-available basis.
Q13: Will I receive my badge before the meeting?
A13: A Badge will be mailed if you have registered and paid in full by September 14. Please make sure to use the address where you want the badge to be mailed.
Q14: How can I request special assistance?
A14: If you require special assistance, please indicate it on the registration form. Further inquiries can be directed to LeadingAge at 1-866-898-2624 option 2 or meetings@leadingage.org.
Q15: What is the hotel cancellation policy?
A15:
You can make hotel changes via fax at 514-289-9844, email LeadingAge@Showcare.com or online by accessing your account. To ensure the hotels have the most up to date information we ask that all hotel cancellations be made in writing (email, fax or letter) to the Housing Bureau no later than 9am Eastern Time, October 12, 2018. Changes on or after October 19, 2018 should be made directly with the hotels and will be made on a space-available basis.
If staying at the Loews Philadelphia Hotel, all changes on or after October 5, 2018 should be made directly with the hotel and will be made on a space-available basis.
If staying at the Philadelphia Marriott Downtown, all changes on or after October 12, 2018 should be made directly with the hotel and will be made on a space-available basis.
Any cancellations received on or after October 19 may be subject to be charged by the hotel based on each hotel properties cancellation policy.
LeadingAge is not responsible for no-shows or early departure fees charged by the hotel or rooms resold due to non-arrival. Your specific reservation is being held for you in the inventory of rooms the hotel blocked for this meeting. LeadingAge takes no responsibility should a room type not be available at check-in.
All room rates are subject to a sleeping room tax of up to 15.5%. Some hotels may also attach additional occupancy tax/surcharges. Some hotels may charge a one night deposit using the credit card on file prior to check-in. Please verify these charges directly with the hotel on or after October 19, 2018. All hotels require a credit card or an approximate amount of cash for incidentals for the entire stay upon check in.
A portion of the room rate is used to offset the expense of housing services.

Q16: If I make my hotel reservation directly with the hotel can I still receive the LeadingAge conference rate?
A16: All hotel reservations must be made through the LeadingAge Annual Meeting registration link (via the LeadingAge Housing Bureau) to receive the LeadingAge conference rate. You can make a hotel reservation with your registration via fax at +1 (514) 289-9844 or online by accessing your account.
Q17: Is there a shuttle from the hotel to the convention center?
A17. Consult the hotel map to see which hotels have limited shuttle service (indicated with a shuttle icon) to/from the Pennsylvania Convention Center. All other hotels are in walking distance. For shuttle schedule and other transportation options, please consult www.leadingage.org/annualmeeting.
Q18: Do I have to pay a deposit for my hotel reservation?
A18: A One night deposit may be charged on the credit card on file by the hotel prior to check-in. Please verify these charges directly with the hotel on or after October 19, 2018.
Q19: Does the hotel rate include tax?
A19: Hotel rates are subject to a sleeping room tax of up to 15.50% tax. Some hotels may also attach additional surcharges.
Q20: My hotel choice is sold out. Can I be added to a waitlist?
A20: No hotel waitlists are available.
Q21: What is the hotel reservation deadline?
A21: August 24, 2018. After the deadline, reservations will be accepted based on availability and LeadingAge's convention rate cannot be ensured.
Q22: I am an exhibitor. How do I register myself and other staff?
A22: Please use the exhibitor registration form to register, and NOT the ‘Attendee’ LeadingAge registrant form. You will see a button on the ‘Register’ page at www.leadingage.org/AnnualMeeting which will say ‘Exhibitor’ registration. If you have specific questions, please contact sales@leadingage.org.
Q23: What is "Life on Purpose"?
A23: You make a difference every day, expand your impact to help people in need at this inspiring team centric service project. Together with your colleagues, you’ll make Philadelphia a better place to call home. This activity will take place on Sunday, October 28 from 9:00 a.m. - 12:00 p.m. Please sign up when you register. If you have registered for this activity, please stay tuned for location and more details via e-mail by mid-October.
Q24: What is “Philadelphia 5 Mile Run/3 Mile Walk"?
A24: Start your day right! Join LeadingAge colleagues for an easy 3-5 mile outdoor run/walk while seeing the sites of Philly.
Run - Professional guides will lead you on a run past Philadelphia's Rodin Museum, the future Barnes collection and the famed Philadelphia Museum of Art. Run to the top of the Rocky steps and get a spectacular view of the city. Catch a glimpse of rowers gliding down the Schuylkill River and enjoy one of Philadelphia's most popular running trails on the return.
Walk - See the City of Brotherly Love! Fun and knowledgeable professional guides will lead you past the Pennsylvania Academy of the Fine Arts, Logan Square, the future Barnes collection and return past the Academy of Natural Sciences, as well as Love Park along scenic Benjamin Franklin Parkway.
Q25. What are the new NAB CE Registry requirement?
A25. To have your attendance reported to NAB, you must provide your NAB CE Registry ID number on the CE section of the registration form (LeadingAge will no longer report attendance to state boards). LeadingAge cannot report attendance for individuals who do not have a NAB Registry ID at the time of registration.
